The library and your entities' KYB records are two sides of the same system: the library holds working documents, the KYB Manager holds evidence. This article shows you how to file a library document into an entity's KYB record, undo a filing, and pull a KYB Manager document back into the library.
Before you start
- Filing needs the Editor or Workspace Admin role.
- KYB Manager evidence stays in PDF or image form. A Word document can't be filed until you convert it to PDF; the filing action tells you so if you try.
File a library document into the KYB Manager
- Open the document from the Documents page and find the Filing section in the rail's Details tab.
- Click File into KYB Manager. A three-step destination picker opens: choose the entity, then the section, then the document slot the file belongs in (or create a free-titled slot for it).
- Confirm. ComplyWise places a copy of the current version into the entity's KYB record as evidence.
Filing creates a copy, not a move: the library document stays where it is. Provenance is recorded both ways, so:
- the library document's Filing section lists everywhere it has been filed, with links straight into the KYB Manager
- the KYB Manager document shows that it came from the library
An already-filed document shows its filed locations first, so you can see at a glance where it's in use.
Remove a filing
- Open the library document's Filing section.
- Click Remove filing next to the entry.
- The KYB Manager copy is removed and the provenance entry cleared. The library original is untouched, and if the filing had created a placeholder slot just for this document, the empty slot is cleaned up too.
Remove a filing when the wrong document went into a slot, or when evidence has been superseded and you want the KYB record to reflect that.
The other direction: KYB Manager to library
You can also bring KYB Manager evidence into the library to work on it:
- Open the document's drawer in the KYB Manager.
- Choose File a copy into Library.
- ComplyWise creates a library copy (with provenance back to the KYB Manager) and opens it straight in the PDF editor, ready to annotate or redact.
The KYB Manager original is never modified: the KYB record keeps the evidence exactly as uploaded, and your library copy is yours to work on.
Tips
- Filed rows in the library list carry an Open in KYB Manager shortcut, so you can jump to the slot without hunting for it.
- Filing a new version later doesn't update the KYB Manager copy automatically: file again if the KYB record should hold the newer file.
